POSITION OVERVIEW
Experienced marketing/events professional needed to execute various high-level client programs and other marketing initiatives. Reports into the Director of Client Relations + Industry Marketing.

ROLE RESPONSIBILITIES
• Execute custom events for sales team that build relationships with their clients, drive awareness, create new leads and help close business.
• Create and manage overarching event schedules as well as top executives schedules at key industry events.
• Manage all aspects of event/meeting planning including: invitation processes, RSVP, and follow-ups, F&B, AV, photography, Top to Top client meetings, onsite execution, budget reconciliations, client gifts, project plans/check lists, post-event surveys,.
• Work directly with sales teams to manage client invitation lists.
• Liaise with national events team on larger programs.
• Activate sponsorship deliverables for industry/client events such as Cannes, Advertising Week, ANA, IAB, CES, and various others.
• Support VIP activation at Tier 1 events – both advertising industry (as above) and CCM+E/iHeartRadio events (such as iHR Music Festival, Jingle Ball, etc.)
• Provide purchasing and vendor management support (open/close purchase orders, set up new vendors).
• Contribute to (and manage in some cases) communications and materials inclusive of invitations, confirmations, agendas, briefing documents, recaps and branded promotional materials
• Manage marketing collateral inventory and source branded event materials.
• Manage relationships with vendors, venue staff, and other partners to ensure delivery of services as defined by event requirements.
• Maintain knowledge of industry trends and best practices to enhance meeting and event quality.
• Take on new responsibilities as needed.
• Stay informed with routine team activities by attending regular team meetings / conference calls and creating follow-up notes where requested.

QUALIFICATIONS/SKILLS
• At least 3 Years of work experience in Events, Marketing, Media/Advertising or a related field. Prior experience in all elements of meeting/event planning required.
• Experience and knowledge of Advertising/Media Industry a big plus.
• Preferred bachelor’s degree in related fields, such as Communications or Marketing
• Strong communication skills (written and verbal) as well as general interpersonal skills
• Excellent organization, planning, multi-tasking and time management skills
• Must be detail oriented and proactive
• Ability to work well independently and collaboratively with a team
• Proficient in Microsoft Office such as Word, Access, PowerPoint and Excel (intermediate level minimum); proficient in Excel formulas and database management
• Must have experience with online web registration
• Ability to stay calm, composed and professional under pressure and in a very fast paced environment
• Flexibility on hours/travel
• Must work from NY office
