Description
We are busy design studio looking for a reliable, organized, and dedicated Studio Manager. This is a great opportunity for someone looking to gain administrative experience in the field of design. Must be a fast learner and detail oriented – previous experience is a plus.
Reception
Uphold confidentiality of business affairs, employee and client privacy, discreet handling of business and maintain a professional demeanor as the front facing representative of the firm.
– Answer phones, screen calls, take accurate messages
– Interface with messengers, handle incoming/outgoing packages, Fedex, outgoing mail, etc.
– Maintain vendor contact list for office supplies and manage monthly ordering (beverages, supplies, etc.)
– Maintain office decorum and manage off-site storage area
– Perform administrative duties for executive management and support design staff as needed.
– Open office daily (8:50am)
Administration/Billing
– Track, code and prepare receipts and expenses
– Interface 2x month with accountant
– Handle miscellaneous paperwork related to receipts/billing
– Bank deposits
Office Management
– Perform light HR such as track vacation/sick days,
– Coordinate staff schedules/office calendar
– Re-stock samples as required – Keep office neat and tidy
– Maintain office equipment, schedule/supervise service calls (copiers, phone system, IT, etc.) and dispute vendor bills.
– Maintain database accurately and coordinate w/ IT to maintain computer back-up
– Maintain PR samples, manage mailings and create and submit design competition entries
– Maintain library and vendor samples
– Assist staff with overflow, new business presentations, research as necessary
This is a Full- Time position. Our office hours are 9am-6pm, Monday – Friday.
Specific Skills
Skills: Must be Macintosh literate. Filemaker Pro, Microsoft Office, GoogleCal/iCal. Knowledge of Adobe Creative Suite is a plus, but not required.
